KokiHQThis policy explains how KokiHQ ("we", "us", "Koki") handles information when you visit kokihq.com, request a free sample website, book a call, or become a client. KokiHQ is based in Georgia, United States.
What we collect
- Sample-request form. If you fill in our "Get your free sample" form, we receive what you enter: your name, business name, email, phone (optional), service area, what you offer, links to your public business pages, any notes, and any photos you upload. We also record that you ticked the consent box and the wording you agreed to.
- Emails. If you email us at ops@kokihq.com, we receive your name, email address and whatever you send.
- Call bookings. If you book a call, Google Calendar collects your name, email and phone number so we can confirm and call you.
- Payments. If you buy a plan, payments are processed by Stripe. Stripe collects your card or bank details; we never see or store your full card number. We receive your name, email, business name, plan and payment status.
- Technical information. Our website is hosted by Cloudflare, which processes basic technical data (such as IP address, browser type and pages requested) to deliver and protect the site. Our pages load fonts from Google Fonts, so your browser connects to Google's servers. Our form uses Cloudflare Turnstile to block spam bots; it checks your browser without tracking you for advertising. To limit abuse we keep a scrambled (hashed) version of your IP address with form submissions, never the address itself.
How we use it
- To build your free sample website, contact you about it, and walk you through it on a call.
- To provide the service if you become a client: building, hosting and updating your website, handling change requests, billing and support.
- We remove location data (GPS) and other hidden details from photos before using them on any website.
- We don't sell or share your information for advertising.
Where it's kept
Form details and photos are stored privately with Cloudflare (not publicly accessible). Emails are kept in our Google Workspace mailbox. Bookings are kept in Google Calendar. Payment records are kept by Stripe.
How long we keep it
- Sample requests, emails and call bookings: up to 12 months after our last contact, then deleted. Form submissions and photos are deleted automatically after 12 months.
- Sample websites: removed within 30 days unless you choose to work with us.
- Clients: for as long as we work together, then 12 months after you leave (longer only where the law requires, such as tax records).
Launch Studio sample homepages
If you run a local business, we may prepare a free sample homepage to show you what a new site could look like, using the information and photos you send us and information your business has already made public (such as your name, address, phone, hours, services, public photos and public customer reviews). We show reviewers by first name and last initial only.
- Sample pages are private: shared only by direct link, marked as samples, and hidden from search engines.
- We delete sample pages within 30 days unless you choose to work with us.
- To have your sample or your details removed sooner, or to stop hearing from us, email ops@kokihq.com.
Links to other sites
Our pages link to our social accounts (TikTok, Instagram, Facebook, Pinterest, Threads, X). Those sites have their own privacy policies.
Children's privacy
This site and our services aren't directed to children under 13, and we don't knowingly collect personal information from children. If you believe a child has sent us personal information, email ops@kokihq.com and we'll delete it.
Your choices and rights
You can ask what information we hold about you, or ask us to correct or delete it, by emailing ops@kokihq.com. Depending on where you live, you may have additional rights, and we'll honour applicable requests.
Changes
If we change this policy, we'll update the date above.
